SmartClub Product Tour

Ready for a SmartClub tour, come along. A few sample screens and reports from SmartClub are included in this tour. The following screen is the SmartClub Main Screen from which everything gets started. It will have your winery name on the top. We hope you find the grapes appropriate.



Utilities Screen
To get started there are a few "house keeping" items that must occur. You will need to set up Company Info including your local tax rate. Then, you can set up 99 Wine Clubs if necessary. Member Types are usually bottle configurations or different types of Members such as Premium and Standard.

Then we set up Shipping fees for the Shipping Zones you wish to define. These are not Fedex or UPS zones, they are your zones and include other costs such as packing and handling if you so desire. This is where you also set up multiple "Will Call" or Pick up locations as well.

Email Settings are next, simply enter your provider. We are careful to avoid getting Spamed by individually sending your bulk emails even though it looks to you as if it is a batch. You can email your declined Members, email Members selectively for special events or any selection criteria. This is a great marketing tool.



Adding Wines
Now that we’ve set up our Utilities, we’ll need to add wine and here is the wine screen sample.



Adding Members
Now it is time to enter Members. This is where you will spend quite a bit of your time in between wine club runs. There are 5 dialog screens for Members. They are:

  • General info – the main Member screen – here you can exclude red or white wines and keep track of their Join Date as well as an Inactive Date
  • Billing info – this has a "no charge" feature with an expiration date
  • Shipping info – a handy red button copies the Billing info so you don't have to input twice. Here is where the shippers are entered as well as Will Call tags
  • Credit Card Info – yes we validate the card as it is entered as well as the expiration date.
  • Personal Info – keep track of your Member’s Birthday and Spouse’s Birthday, Anniversary Date and an unlimited Notes section. You can even drop in a picture of your Member or a scan of their Wine Club Acceptance. That can come in very handy if proof is necessary.

Below is the main Member screen. Please note the Print and Search buttons. Many Members join with more than one name so it is easy to find the significant other when they call as the Billing Info is in one name.



Preparing a Shipment
Now it is time to Prepare a Shipment. The Prepare Shipment screen follows and shows an example of what was selected from the Wines in the Premium Member Type. It has 4 bottles and weighs 22 pounds and does not have Alternate wines for Exclusions. Please also notice there is always a Status to show you where you are in a Shipment.
